To be implemented in the shortest time possible, RRP deployment leverages Artera’s Leading Practices standard implementation templates. This relies on a daily batch file upload, which offers near-complete Artera functionality, with the exception of Appointment Status Writebacks to your EMR (confirmations/cancellations) and limitations on advanced features such as Patient Contact Preferences, Referrals, Recalls, Portal Status, etc.
Operational Setup Overview
Phone Lines
Artera will purchase new text-enabled phone numbers for you (at no additional cost) and set up call forwarding to your existing department phone numbers.
Automations
Your Artera environment will come pre-built with Automations that can support Text and Call messages. Your Artera Project Manager will work with you to filter your Automations based on a specific set of visit types (In-Person, Virtual Visits, Phone Visits) prior to Go-Live.

Technical Setup Overview
To deploy RRP, the setup of an SFTP site is required. Ownership of the SFTP site (i.e. hosted by the Customer versus hosted by Artera) will be determined upon project kickoff.

This extract is used to capture a historical load of patient demographic data from your EMR and will be uploaded into Artera.

This extract is used to capture future appointment data from your EMR and will be uploaded into Artera.
Rapid Release Program Value Mapping Template
This template is used to capture the values of appointment statuses and languages from your EMR and to match them to Artera.
Known Limitations
Late Demographic and Appointment Changes
Due to RRP’s reliance on batch files, appointments that are changed in any way after batch files are transferred to Artera will continue to trigger communications to be sent to a subset of patients. This will primarily impact late cancellations and late reschedules that occur within your EMR and within 24 hours of the patient’s appointment time. Additionally, if a patient’s phone number is changed after a batch file transfer, Artera will use the previously provided phone number to reach the patient. Staff end-users should be informed of these likely scenarios.
Patient Contact Preferences
Patient Preferences are NOT respected for RRP. Patients who are “Do Not Contact” in your EMR must be filtered out of the data files that are sent to Artera.

What languages does RRP support?
RRP supports English and Spanish.
Is Secure Messaging supported with RRP?
Yes, Secure Messaging is supported with RRP.
What other features does RRP support?
RRP also supports Campaigns.
How will patient demographic and appointment information transfer from the EMR to Artera?
A Secure File Transfer Protocol (SFTP) will be set up to send files from your EMR to Artera. Artera will provide you with the data file specifications.
Will Patient Preferences from the EMR be respected?
Patient Preferences are NOT respected for the Rapid Release Program. Patients who are “Do Not Contact” in your EMR must be filtered out of the data files that are sent to Artera.
Which Phone Lines will Artera use to deliver messages?
Artera will purchase Phone Lines to text-enable on your behalf. Call forwarding to your existing lines can be implemented.
Where will testing for RRP be conducted?
Artera will provide the customer with a Demo environment to process the data load and confirm the system is ready for Go-Live.
Which visit types will be supported as part of RRP?
Telehealth, Virtual, and In-Person visits will be supported.
